When planning a move or any other important task it is necessary to have a definite schedule to follow. This will help keep you organized through out the process and help ensure a smooth move. The following master schedule should give you a clear overview of each aspect of the move.


  • 180 days

The following are some of the areas that need to start being addressed approximately 180 days before move day:

  • Real Estate: Begin negotiating for the new office space.
  • Furniture: Begin contacting furniture companies and surveying your needs for new furniture if applicable.
  • Telephones: Begin discussing what phone services are at the new location. Evaluate the existing services and determine if and how they should be modified to better suit your needs after the move.
  • Business Forms: This is the time to organize your existing forms, you will want to make a list in order of priority. This list should be used to determine which forms are most important and which important forms will need to be changed soon.

  • 120 days

The following areas should be addressed approximately 120 days before the move is scheduled to take place:

  • Construction: Verify any building or structural changes for the new location. Meet with key people to determine what the needs will be in the new area and if any construction will be necessary.
  • Computers & Office equipment:Evaluate current and future computer and equipment needs. Contact companies that will be able to address these issues and begin to price out computer systems and other equipment that will be implemented.

  • 90 days

The following areas should be addressed approximately 90 days prior to the move:

  • Movers: Begin to schedule appointments with movers to estimate your move cost.
  • Telephones: Finalize proposals from the phone companies you have been considering for new service.
  • Furniture: Decide on which company will be supplying your new furniture. Once the vendor is selected you should have the dealer take any necessary measurements and place your order.
  • Business Forms: Contact current and or potential new vendors for proposals on new updated forms.
  • Computers & Office equipment: Select your vendors and arrange meetings to negotiate your final purchases.

  • 60 days

These are areas that should be addressed approximately 60 days prior to the move:

  • Telephones: Meet with the phone representative of the selected company, schedule phone wires to be installed where needed and reserve phone numbers and select a long distance carrier for the new service.
  • Movers: Review your estimates and decide on a moving company. Once you have selected a mover contact them to arrange the date and time of your move.
  • Business Forms: Review all artwork for new forms and check logos.
  • Computers & Office equipment:Place orders and set up service agreements for necessary equipment.

  • 30 days

The following areas should be addressed at the 30 day mark:

  • Movers: Contact the building managers of both buildings to reserve elevators if necessary. You should also arrange for any necessary parking permits where applicable.
  • Business Forms: Order new business forms.
  • Telephones: Have new phone numbers established.
